Location: This position will be based out of the Del Mar Heights, San Diego, CA, office, Bentley's west coastflagship office. 

 

 

Position Summary: 

 

Bentley’s Facilities and Real Estate department is looking for a Workplace Specialist Manager to support the San Diego office and other Bentley Offices in the region. The Workplace Specialist Manager will ensure the San Diego office and other offices are running smoothly. This includes addressing day-to-day facilities issues that may arise, communicating with property manager and building maintenance, and purchasing office supplies/equipment through Bentley’s purchasing systems as needed. You will help develop strategies and implement tactical solutions to support Bentley’s offices across the region. You will help ensure office facilities programs and workplace AV/tech are maintained and functioning. Additionally, you will ensure our programs to support employee experience are smoothly run and maintained with the utmost level of operational excellence within the office environment.

 

The Workplace Specialist Manager is the point of contact for all incoming visitors as well as local San Diego colleagues. They will ensure conference rooms are set up for large meetings/trainings and coordinate meals and transportation as needed. General IT knowledge is preferred (plugging in webcams, connecting/rebooting conference room equipment, etc.). This position will also run Colleague Engagement events, such as office social functions.

 

Maintain strong relationships with internal stakeholders (team leaders) and partner teams (HR, IT, Finance, and property management) as well as external vendor services to ensure highest quality solutions.

 

 

Responsibilities:

 

  • Overseeing general office operations
    • Building management contact
    • Shipping/receiving
    • Purchasing office supplies and equipment and maintaining proper stock levels
    • Assist with trouble shooting of all office equipment and coordinate facility maintenance and repair needs of department
  • Point of contact for all incoming visitors
    • Notify office of incoming colleagues and guest weekly
    • Ensure user access for guest and colleagues
  • Yearly Colleague Engagement
    • Plan yearly event details and aspects, including seating, dining, guests and transportation when required
    • Request PRs for events based on HR guidance
  • Support all visiting SVP in an administrative capacity
  • Administrative support for Facilities and Real Estate team as needed.

 

 

Required Knowledge, Skills, Abilities, and Experience:

 

  • Minimum of 2+ years of relevant experience
  • Highly organized and analytical
  • Excellent oral and written communications skills
  • Skilled at coordinating with outside agencies for services
  • Ability to work well with outside vendors, internal customers, and corporate facilities team.
  • Can always be counted on to complete assigned tasks with minimal follow up
  • Ability to set measurable goals and meet deadlines
  • Ability and willingness to learn quickly
  • Willingness to accept unknown/new tasks and projects
  • Requires sitting or standing at will while performing work on a computer (or any other physical requirements). The role requires communication with managers, peers, and other colleagues of the company in person, and by utilizing Microsoft Teams chat, calling, and meeting functions.
  • This role requires travel to Irvine office 2-3 times per month.
