The Executive Assistant to the CMO serves as a force multiplier within a global marketing organization of 160 colleagues. This is not a traditional administrative role. It is a strategic executive partnership role designed to ensure the CMO’s time, attention, preparation, and energy are aligned to the highest impact priorities for the business. 


This role reports directly to the Chief of Staff to the CMO and works in close partnership with her. Together, they operate as a coordinated executive team. The Chief of Staff focuses on strategic alignment, cross functional initiatives, and executive priorities. The Executive Assistant focuses on ensuring adherence to operational cadences, preparation, precision, and executive readiness. 


This position is designed for a career Executive Assistant who is committed to the executive support profession. It is not a pathway role into marketing. Success in this role requires mastery of executive leverage, anticipation, and operational excellence. 


Success means the CMO is always prepared, never surprised, and consistently focused on the highest value outcomes. It means the marketing organization functions with predictable cadences,  efficient use of travel and meeting time, and strong operational rigor. 


What Success Looks Like 

  • The marketing function is operationally efficient and predictable. 

  • The CMO enters each week clear on priorities and each day fully prepared. 

  • There are no surprises going into meetings or presentations. 

  • Because of forethought and intention, marketing meetings are purposeful and outcome oriented. 

  • Briefing materials and meeting prep notes are concise, structured, and decision ready. 

  • Follow through is tracked and visible. 

  • The executive partnership with the Chief of Staff operates seamlessly. 


Core Responsibilities 

Executive Readiness and Preparation 

  • Own the forward view of the CMO’s calendar and commitments, looking ahead across days, weeks, months and quarters to anticipate preparation needs. 

  • Ensure the CMO is fully prepared for each meeting with context, background materials, talking points, and clarity on the objective or decision required. 

  • Ensure the CMO is regularly connecting with peers and reports to maintain alignment and communication. 

  • Identify potential risks, sensitivities, or missing information in advance and delay, cancel meetings accordingly. 

  • Take proactive ownership of preparation so the CMO does not need to reconstruct context independently from calendar entries. 

Strategic Time and Energy Management 

  • Architect and protect the CMO’s calendar with prioritization aligned to business impact. 

  • Partner with the Chief of Staff to ensure time allocation reflects strategic goals and transformation priorities. 

  • Distinguish between meetings that require executive presence and those that can be delegated or reframed. 

  • Ensure appropriate space for strategic thinking, preparation, and recovery between high intensity engagements. 

Operating Rhythm and Accountability 

  • Proactively organize and maintain a calendar of leadership meetings, executive reviews, and offsites in coordination with the Chief of Staff. 

  • Ensure agendas are clear templates, objectives are defined, and templated materials are distributed in advance. 

  • Capture decisions and action items with clarity. 

  • Follow up consistently to ensure commitments are met. 

Information Flow and Filtering 

  • Serve as a thoughtful gatekeeper for inbound requests. 

  • Triage requests and elevate only what requires executive attention. 

  • Create clarity where information is fragmented, incomplete, or misaligned. 

Organizational and Logistical Support 

  • Coordinate global travel and executive logistics with attention to detail and contingency planning. 

  • Support preparation for Board interactions and executive forums as needed. 

  • Partner with Marketing Operations to ensure key metrics and dashboards are available when required. 


The Ideal Profile 

  • This role requires a candidate who identifies as a career executive partner and is motivated by long term excellence in that profession. This is not an entry role into another marketing function. 

  • Comfortable in a fast-paced environment; able to navigate ambiguity when needed and escalate for clarity when appropriate. 

  • Takes pride in being elite at leverage, not proximity. 

  • Thinks several steps ahead and anticipates needs before they are verbalized. 

  • Highly structured and systems oriented. 

  • Exercises strong judgment and discretion. 

  • Executive level communication skills. 

  • Thrives in a collaborative partnership model with a Chief of Staff. 


Experience and Capabilities 

  • Seven or more years supporting C level marketing executives in complex global environments (ideally software). 

  • Experience working in partnership with a Chief of Staff preferred. 

  • Exceptional executive briefing and presentation preparation skills. 

  • Strong business acumen and ability to synthesize complex information. 

  • Advanced proficiency with GenAI, Excel and Salesforce. 

  • Comfortable operating across global time zones. 

  • High discretion and maturity.
