Position Summary:
As the Manager of Events Planning, you will be a key member of the Account Advancement Group (AAG). You will work under the direction of the Senior Manager of Global Events and report to the Senior Director, Global Chief of Staff. In this role, you will contribute to the development, planning, and flawless execution of high-profile events, including the annual sales reward trip Emerald Club, annual Bentley Tech Summit, and other AAG internal meetings. You will be part of an exceptional team responsible for delivering best-in-class event experiences for Bentley colleagues, users, and prospects. You will join a highly skilled global center of excellence team and collaborate with talented colleagues across various functions within Bentley.
Your Day-to-Day:
- Event Strategy: Contribute to a comprehensive event strategy aligned with the company's goals and objectives.
- Event Planning Coordination and Execution: Ensure all aspects of event management are considered and successfully executed, such as food and beverage, audio/visual, registration, and meeting room setup. Lead event web registration and mobile app deliverables, including content, functionality, branding, and user experience. Collaborate with teams on event branding and communications, event briefing documents and post event evaluations. Create and manage planning timelines. Take on assignments that go beyond event fundamentals, such as proactively reviewing communications and feedback, suggesting improvements, and customizing plans and details for events.
- Budget Management: Contribute to budget creation, management, and reconciliation. Ensure optimal resource allocation and cost control while delivering high-quality experiences.
- Venue and Vendor Management: Identify suitable venues for events. Portfolio due diligence to include site visits, feasibility studies, criteria for events and overall standard for event execution and design.
- Colleague and Vendor Relations: Serve as primary point of contact for internal and external stakeholders, ensuring their needs and expectations are met while providing expert guidance and recommendation.
- Communication: Communicate effectively and regularly with the Senior Manager of Global Events, and other colleagues as necessary.
- Tech Summit Sponsorship Implementation: Implement sponsorship packages to ensure proper execution before, during and after event. Proactively communicate with sponsors throughout the life cycle of Tech Summit.
- Risk Management: Identify potential risks and develop contingency plans to address any issues that may arise during the planning and execution of the event.
- Post-Event Evaluation: Conduct post-event evaluations to assess success, gather feedback and identify areas for improvement through after-action reports.
- Innovation and Trends: Maintain an active awareness and understanding of global conferencing and event trends, innovations, and opportunities.
- Key Stakeholder Engagement: Manage and develop relationships with key AAG business unit stakeholders and contacts. This also includes collaborating to understand how AAG Events team can help enable productivity.
What You Bring to The Team:
- 5-7 years of experience in event strategy, sponsorship management, and corporate event planning, preferably in a SaaS-based B2B technology company.
- Proven experience managing large-scale, high-visibility events with multiple stakeholders and competing priorities.
- Degree in marketing, events, or a related field, or relevant work experience.
- Experience with event registration systems and event mobile app platforms (Cvent experience preferred).
- Strong project management skills, with the ability to lead cross-functional teams, manage complex logistics, and drive alignment across departments.
- Expertise in budget management, cost optimization, and financial reconciliation.
- Strong ability to strategically problem-solve and make real-time decisions under pressure.
- Exceptional communication, negotiation, and management skills, with the ability to influence stakeholders at all levels.
- Ability to thrive in a fast-paced environment, adapting quickly to changing business needs.
- Expected travel: 2- 4 times per year but may increase / fluctuate based on business needs. Willing and able to travel domestically and internationally as needed for events.
- Strong documentation skills, with a keen ability to efficiently manage financial and logistical aspects of events.
- Outstanding client service skills, ensuring a positive experience for all prospects and partners throughout every stage of an event.
- Quick to learn new technologies and comfortable communicating about them confidently with others.
- Passionate about delivering a world-class experience for prospects and partners at events, demonstrating a strong drive and commitment to excellence.
