About the Role
We’re looking for a dynamic, highly organized, and people‑focused individual to be the heart of our new Quebec office.
This unique hybrid role blends front-of-house leadership, office and facilities management, and cultural engagement. It’s perfect for someone who thrives on variety, cares deeply about creating an exceptional workplace experience, and takes pride in delivering first‑class service.
You will be the first point of contact for all visitors, including global colleagues and executives, while overseeing the day‑to‑day running of our Quebec office. You’ll champion culture initiatives, support global programs like Sustainability, IDEA, Bentley Giving, and Achievers, and help design engaging in-office experiences.
Role Purpose
To deliver an outstanding front‑of‑house experience, maintain a high-performing and welcoming office environment, and play a central role in fostering a positive, inclusive, and highly engaged workplace culture with a 50/50 split of time across the facilities and culture champion roles.
Key Responsibilities
Front of House & Office Management
- Front of House, Facilities & Office Management
- Warmly greet and assist all colleagues, visitors, clients, and executives, ensuring a polished and professional front‑of‑house experience.
- Act as the primary point of contact for all office-related queries, issues, and support needs.
- Oversee general office operations, ensuring the space is always maintained to an exceptional standard.
- Manage incoming calls, emails, and correspondence, liaising effectively with internal teams and external stakeholders.
- Oversee meeting room bookings and bookable assets, including preparation, resetting, and AV readiness.
- Coordinate hospitality for meetings, including catering and VIP arrangements.
- Provide concierge services for visiting executives (e.g., restaurant reservations, transportation coordination).
- Manage courier shipping/receiving, daily mail handling, and logistics.
- Oversee office supply management (stationery, equipment, beverages, snacks) and coordinate repairs or maintenance with vendors.
- Raise purchase requests, manage facilities-related invoices, and support budget tracking.
- Support marketing and internal teams with in‑office event operations and logistics.
Onboarding & Swag Management
- Prepare welcome packs and coordinate first‑day logistics for new hires.
- Manage inventory and distribution of branded merchandise for employees and events.
Culture Champion
- Promote company values and cultural initiatives throughout the office environment.
- Design, plan, and deliver creative in-office events to strengthen engagement and increase attendance.
- Amplify global culture programs locally, including:

- Bentley Giving
- Achievers recognition
- Coordinate internal engagement activities such as newsletters, themed days, and recognition initiatives.
- Provide logistical and creative support for internal and external events to ensure cultural alignment and impact.
Skills & Attributes
- Minimum 3 years’ experience in a concierge, reception, facilities, or office management role.
- Warm, polished, and professional presentation with a passion for exceptional service.
- Strong organizational and multitasking capabilities.
- Excellent written and verbal communication skills, with confidence engaging at all levels of the business.
- Proficiency in Microsoft Office and general digital tools.
- High attention to detail and a proactive, solution-oriented mindset.
- Positive, adaptable, and collaborative team player with a “can‑do” approach.
