Position Summary:
We are seeking a high-touch Corporate Travel Specialist to join our internal travel team. This role is designed to be an internal champion for policy compliance and cost compression while driving improved traveler experience and helping to empower busy company travelers. This role will focus on educating and informing colleagues through regular communication and training opportunities. Focus will also be on "policing with a smile" by monitoring real-time bookings and auditing air and hotel vendors as well as the travel management company. This role will also serve as an internal resource for complex travel needs that require a personal, company-specific touch, that cannot be resolved by the travel vendor.
Responsibilities:
Policy, Compliance, Communication, Cost, & Experience Management
- Maintain internal communications platforms to educate colleagues on process, procedures, policy updates, booking platforms and general corporate travel best practices. Identify areas where traveler training may be beneficial.
- Identify opportunities for savings by steering travelers toward preferred vendors and cost-effective behaviors through real-time monitoring of booking reports.
- Conduct regular audits of travel management company (TMC), online booking platform for air, hotel, car rental corporate rate availability, and accurate rate loading.
Advanced Traveler Support & Advocacy
- Provide support and assistance with high-touch, complex international itineraries that require expertise beyond standard TMC support.
- Manage requests and approvals for personal travel extensions or deviations, ensuring clear separation between business and personal expenses.
- Serve as point of contact for policy questions and provide nuanced guidance on grey area policy scenarios.
TMC Escalations
- Act as the primary liaison for secondary traveler support when TMC first level support is unable to resolve an issue or query.
- Provide swift resolution for VIPs or emergency situations.
- Manage after-the-fact TMC customer service escalation case to ensure resolution in a timely manner.
Qualifications:
- 3-5 years' experience in a similar role.
- Deep knowledge of the travel industry, online booking systems (preferably Navan Travel), and some familiarity with GDS systems.
- Comprehensive understanding of intricacies of airline pricing, hotel rate and payment options, and ground transportation options.
- Understanding of corporate travel policies and compliance.
- Excellent written and verbal communication skills.
- Exceptional organizational, problem-solving skills and ability to work in a fast-paced environment.
- Proactive, strategic thinking, and adaptability.
- Customer-centric mindset with keen attention to detail.
- Ability to maintain confidentiality and handle sensitive information with discretion.
- Expertise in arranging complex, international travel from multiple points of sale.
- Some experience with VIP, C-level, or high-profile executive travel.
