Overview of Role

 

To support the rapid growth of our business, we are seeking a highly motivated Sales Administrator to work on a hybrid basis (1 or 2 days a week) from our new office in Reading, UK. This role will be responsible for providing sales administration support to the sales teams, primarily focusing on the co-ordination and administration of tenders, aiding with regional renewals for transactional accounts, contract administration for selected accounts and academic institutions, and the administration support for centralised training activities.

The role will also help with other sales administration activities including setting up user licences, occasional event support and other miscellaneous sand ad hoc ales administrative support.

 

The position is a supporting function, driving efficiency into the teams through the centralisation of administrative tasks like tender management, contract and training administration, and sales administration especially around transactional renewals, and hence allowing sales roles to thereby spend more time on customer-facing activities.

 

This role reports to the Sales Operations Manager who is responsible for the EMEA Sales Analytics, forecasting and sales administration.

 

 

What You Bring to The Team

 

Tenders

  • Co-ordinate and administer tenders, managing the client engagement under the direction of the sales team leader.
  • Provide administrative support completing tasks for the submission of tenders.
  • Managing the project timeline and stakeholders for tender submissions.
  • ‘Project manage’ complex tenders, taking responsibility for a plan, timeline, tasks and managing multiple stakeholders to support the relevant sales leader.

 

Contracts (incl. Academics)

  • Review and assist with the creation and submission of customer contracts for things such as enterprise deals. (MSA’s). This will include liaising with and co-ordinating internal roles like legal and finance, as well as with customers.
  • Assist with sales admin such as supplier set up and the accompanying documentation involved with this.

 

Sales & Training Admin

  • Help with the administration overhead for CSS training sessions such as registration management, license management, coordination with marketing, invoicing, certification, Associate admin, invoicing, etc.
  • Own the administration for the above in the Projector system and manage the administration process as required. 
  • Occasionally assisting the accounts team with admin such as chasing debtors.

 

Renewals

  • Helping with EMEA transactional renewals, sending out quotes and liaising with the customer to close opportunities in SFL.
  • Occasional setting up of licences if required / holiday cover for other administrative support roles.
  • Aids the CSM Academics with contract administration, licence set up etc.

 

 

Essential Requirements

 

  • 5+ years of sales and contract administration experience.
  • Experience dealing with complex tenders and contracts highly desirable.
  • Experience in a customer facing role and the ability to communicate and empathise with customers vital
  • Experience of vendor registration with customer portal management (African experience would be excellent). 
  • Strong communicative skills to share their findings with others.
  • Able to communicate complex issues with clarity and conviction.
  • Excellent communication and interpersonal skills across digital channels.
  • Strong strategy, planning, organizational and multitasking skills.
  • Educated to degree level  (bachelor’s) degree is typically required for this role;
  • Experience working with sales and Business process technologies (CRM, ERP, Excel, etc)
  • Highly organized, with a strong affinity for process and procedure balanced with pragmatism. Collaborative and detail oriented.
  • Demonstrated strong Microsoft Excel competence, including pivot tables, VLOOKUP, GETPIVOT and other functions
  • Experience in working with remote teams strongly preferred
  • Second language nice to have (French, German, Spanish, Dutch).
  • To plan and work independently on a day to day basis, to cope with a varied workload and be able to work unsupervised and prioritise workload to meet deadlines
  • Absolute discretion when dealing with confidential and sensitive work
  • Must have a quick-response capability
